ConsultBooks ("ConsultBooks", "we", "us", or "our") is an AI-native, GST-compliant accounting platform operated by AI Guild Partners. This policy explains how we handle information when you use the ConsultBooks website (www.consultbooks.com), the application at platform.consultbooks.com, and the Claude MCP connector (together, the "Service").
Our GST registration number (GSTIN) is being finalised and will be published here once available.
2. Information we collect
Information you provide
- Account details — name, email address, and authentication identifiers (for example, your Google account when you sign in with Google).
- Organisation & tax details — company name, GSTIN, state, and address used to configure GST treatment.
- Financial records — invoices, clients, expenses, vendor bills, payments, bank statements you import, and related documents (such as uploaded receipts).
- Communications — messages you send us for support or feedback.
Information collected automatically
- Usage & device data — log data such as IP address, browser type, pages viewed, and timestamps, used to operate and secure the Service.
- Cookies — strictly necessary cookies for authentication and session management. See Cookies.
3. How we use your information
- To provide and operate the Service — creating invoices, computing GST, generating reports, and running compliance checks.
- To power AI features, including the built-in assistant and the Claude MCP connector you choose to enable.
- To send service communications such as payment reminders you configure, compliance alerts, and account notices.
- To secure the Service, prevent abuse, and debug issues.
- To comply with legal and tax obligations.
We do not sell your personal or financial data, and we do not use your financial records to train third-party AI models.
4. Legal basis for processing
Where applicable, we process your information to perform our contract with you (providing the Service), to comply with legal obligations, on the basis of your consent (which you may withdraw), and for our legitimate interests in operating and securing the Service.
5. Where your data is stored
Your application data is stored in a Supabase PostgreSQL database hosted in Mumbai, India (region ap-south-1), with row-level security enforcing strict isolation between organisations. The Claude MCP connector and supporting services run on Cloudflare's global network; transient request data may be processed at Cloudflare edge locations to deliver the Service. We retain your data within these providers and do not transfer it elsewhere except as described in this policy.
6. AI processing & the Claude MCP connector
ConsultBooks includes a built-in AI assistant available on every plan. When you use it, relevant records are processed to fulfil your request (for example, drafting an invoice or summarising GST liability).
If you choose to connect Claude via the MCP connector, you authorise Anthropic's Claude to call ConsultBooks tools on your behalf. In that case, data you ask Claude to access is shared with Anthropic to process your request, subject to Anthropic's own terms and privacy policy. Connecting Claude is entirely optional and can be disconnected at any time from your account settings or from Claude.ai.
7. Sharing & sub-processors
We share data only with service providers who help us operate the Service, under appropriate confidentiality and data-protection terms. Our key sub-processors include:
- Supabase — database, authentication, and storage (Mumbai region).
- Cloudflare — application hosting, MCP server, and network security.
- Anthropic — only when you enable the Claude MCP connector or use AI features routed to Claude.
- Google — only if you choose Sign in with Google for authentication.
We may also disclose information where required by law, to enforce our terms, or to protect the rights, safety, and security of our users and the Service.
8. Data retention
We retain your data for as long as your account is active and as needed to provide the Service. Financial records may be retained for the periods required by Indian tax and accounting law. You can export your data at any time, including after your subscription expires. On account deletion, we delete or anonymise your data within a reasonable period, except where retention is legally required.
9. Your rights
Subject to applicable law, you may request to access, correct, export, or delete your personal data, and object to or restrict certain processing. You can exercise most of these directly in the app (for example, exporting your data) or by contacting us at [email protected]. We aim to respond within a reasonable timeframe.
10. Security
We protect your data with encryption in transit (TLS), row-level security for tenant isolation, access controls, and least-privilege practices. No system is perfectly secure, but we work to safeguard your information and to notify you of material incidents as required by law.
11. Cookies
We use strictly necessary cookies to keep you signed in and to maintain your session. We do not use advertising cookies. You can control cookies through your browser settings, though disabling necessary cookies may prevent you from signing in.
12. Children's privacy
The Service is intended for businesses and is not directed at individuals under 18. We do not knowingly collect personal data from children.
13. Changes to this policy
We may update this Privacy Policy from time to time. We will revise the "Last updated" date above and, for material changes, provide additional notice through the Service.
